The Meeting 2000 Event Planning Process
Step I
Initial consultation to determine your company’s meeting goals, objectives, estimated number of attendees, desired geographical location and budget.
Contractual Agreement of Services – This is a non-binding customer agreement (CDA) to commence work on your project.
Source Event Location and Meeting Facility/Hotel Accommodations - We investigate the availability of accommodations in your desired city or region.
Budget Development - We will develop a meeting program and identify accommodations that conform to your budget.

Comprehensive Site Inspection
Registration Mailing - Meetings 2000 will send out a personalized registration mailing to your desired attendees and begin collecting personal registrations through our online registration system.
Step II
Register and Ticketing for Participants - As participants register, Meetings 2000 will confirm air travel, hotel accommodations and ground transportation. We will track registration levels and interface with your participants personally in order to ensure their satisfaction with individual itineraries.
Development and Production of Meeting Documents – Meetings 2000 will develop the graphic and media components of your meeting materials and upon your approval publish the documents.
Travel and Logistics Services Information – Meetings 2000 will mail your event participants the air travel ticket, hotel confirmations and ground transfer.
Shipment of Meeting Materials to your meeting location.
Arrival On-Site – Your event attendees will be met at the airport, provided transportation to the meeting location, and assisted with registration and check-in.
Complete On-Site Event and Meeting Management Services
Step III
Departures - At the conclusion of the event, Meetings 2000 personnel will be available to assist attendees with check-out and transport them to the airport.
Financial Reconciliation - After invoices are received from all service suppliers, hotel and associated vendors, Meetings 2000 will reconcile the final invoice.
Debrief – Meetings 2000 will meet with you to reconcile final cost of services and meeting evaluations.
